Iosco-Arenac District Library is hiring a new full time Administrative
Assistant/Bookkeeper.
JOB OBJECTIVES
This position is located at the Iosco-Arenac District Library
Headquarters office at 120 W. Westover St., East Tawas, MI. The employee
in this position performs a variety of tasks related to the accounting
of funds of the District Library. These tasks include but are not
limited to keeping accurate records of receivables and payables,
preparing and distributing payroll, reconciling bank accounts,
maintaining an inventory of District Library property, depositing
receipts and paying invoices. The Administrative Assistant/Bookkeeper
prepares reports, compiles District statistics, acts as the receptionist
for District Headquarters, maintains an adequate supply of office,
maintenance, and book processing supplies, and maintains the personnel
and correspondence files for the District. The Administrative
Assistant/Bookkeeper orders new library materials and manages the
Popular Subscription service for serials. The Administrative
Assistant/Bookkeeper also handles overdue notices for library branches,
assists with Reference, and prepares minutes from the District Board
meetings. The Administrative Assistant/Bookkeeper assists with the
preparation of graphics and reports, the processing of new materials,
and, assists the District Director with composition of letters and
various other projects. The Administrative Assistant/Bookkeeper is the
Webmaster for the District and performs various technical procedures
associated with District computers and e-mail accounts.
JOB CONDITIONS
The employee in this position is considered a full-time employee working
40 hours per week.The Administrative Assistant/Bookkeeper normally works
from 8:00 a.m. – 4:30 p.m., Monday-Friday, with a 30-minute lunch.
However, the District is not restricted in the exercise of its
management prerogative, including the type and location of work
assignments, schedule of work, work standards, and the methods,
processes and procedures by which such work is to be performed. The
Administrative Assistant/Bookkeeper reports to the District Director.
REQUIRED SKILLS
-Associates degree in accounting or business administration
-Ability to understand financial data, processes, and procedures
-Experience in accounting and payroll
-Experience with QuickBooks and Excel
-Friendly and customer service oriented
-Experience with other office software
-Excellent written and verbal communication skills
-Proven office administrative assistant and bookkeeping experience
- A high degree of attention to detail, accuracy, and organization
-A valid driver’s license
PREFERRED SKILLS
-Experience working in a library
-A basic understanding of non-profit business operations
-Experience working with government offices
PHYSICAL DEMANDS
-Must be able to lift up to 20 pounds
-Must be able to remain in a stationary position 50% of the time
-Must be able to occasionally move around inside an office setting
-Constantly operates a computer and other office equipment, such as a
copy machine/printer
